FINAL ONLINE CONSORTIUM MEETING REPORT
The final online consortium meeting of the IMPACT project was held on 10 June 2026 with representatives from all partner organisations participating. The meeting marked the beginning of the project's final reporting phase and focused on reviewing the status of the remaining activities, finalising project outputs, and coordinating the collection of evidence required for the submission of the final report.
The meeting commenced with a round of updates from all partners regarding the implementation of the project's final activities. Partners reported on the completion status of their local workshops, webinars, and dissemination events. It was confirmed that the majority of activities had already been successfully implemented, while the remaining documentation and supporting materials were in the process of being compiled. All partners reaffirmed their commitment to submitting the outstanding evidence within the agreed timeframe.
The consortium then discussed the finalisation of the project publication and toolkit. Particular attention was given to the completion of translations and the correction of minor formatting and cover issues identified during the final review process. Partners confirmed that the translated versions in their respective languages would be finalised and submitted shortly. It was agreed that all language versions of the publication and toolkit would be uploaded to the project website once the final quality checks had been completed. The coordinator emphasised the importance of ensuring consistency and accessibility across all versions before publication.
A substantial part of the meeting was dedicated to the preparation of the final report and the supporting evidence required by the Erasmus+ programme. The coordinator presented the evidence checklist prepared for all partners and explained the documentation that would be necessary to demonstrate the successful implementation of project activities. The discussion covered the evidence required for local workshops, including signed participant lists, agendas, photographs, evaluation forms, and summary reports. Similar requirements were reviewed for the webinars, where partners were reminded to provide registration lists, screenshots, programmes, evaluation results, recording links, and examples of promotional activities.
The consortium also reviewed the documentation required for dissemination events. Partners agreed to ensure that participant lists, agendas, photographic evidence, and links to media coverage or online publications were collected and stored in the shared project repository. Attention was also given to the final publication and toolkit, with partners confirming that translated PDF versions and evidence of their upload to the project website would be provided.
The importance of maintaining complete dissemination records was highlighted during the meeting. All partners were reminded to update the shared dissemination tracking spreadsheet with any remaining dissemination activities and outputs. This information would contribute significantly to demonstrating the project's impact and outreach during the final reporting stage.
The coordinator also outlined several actions that would be undertaken centrally, including the completion of the Beneficiary Module, the organisation and verification of the shared project folder, and the collection of all mandatory annexes required for the final report. Partners acknowledged their responsibility to provide any additional supporting documents that might be requested during this process.
Following the discussion, the consortium agreed that all remaining evidence and supporting documentation should be submitted by the end of June 2026. The finalisation of translations and uploads of the publication and toolkit would also be completed within this period. During June and July 2026, partners would continue updating dissemination records while the coordinator prepared the final report and verified the completeness of all supporting materials.
The meeting concluded with a confirmation from all partners that they would prioritise the completion of the remaining reporting tasks and continue supporting the coordinator throughout the project closure process. The coordinator thanked all consortium members for their collaboration, commitment, and contributions throughout the implementation of the IMPACT project and expressed confidence that the project would be successfully finalised within the established deadlines.
